NordClip Privacy Policy

This policy explains how NordClip handles personal data when you use nordclip.com.

1. Who we are

NordClip is responsible for your personal data. Contact us at [email protected].

2. What we collect and why

• Account data (email, password hash, language, settings): to run your account. Legal basis: contract.
• Billing data (plan, payments, billing address, VAT number for businesses): to take payments and keep accounting records. Legal basis: contract and legal obligation. Card details are handled by our payment provider; we never see your full card number.
• Your content (videos, audio, transcripts, titles and clips): to make your clips. Legal basis: contract. If your videos include other people, you must have the right to use them.
• Usage and technical data (jobs, clips used, IP address, logs): to run, secure and improve NordClip and to prevent abuse, including repeat free trials. Legal basis: legitimate interests.
• Visit statistics: we use Cloudflare Web Analytics to count visits. It sets no cookies and does not track you across sites. Cloudflare, as our processor, gives us only aggregated statistics such as pages viewed, referring site, country and device type. Legal basis: legitimate interests.
• Marketing emails: only if you opt in. Legal basis: consent, which you can withdraw at any time.
• Optional advertising measurement: after you create an account, we offer a separate choice about Meta marketing cookies. If you accept, we use the Meta Pixel in your browser to measure successful account creation and later visits to public marketing pages while you are signed in, and NordClip's server also sends Meta, through the Meta Conversions API, your account signup and your plan and extra-clip purchases, to help improve our Facebook and Instagram ads. We do not send Meta tracking information before signup or without your acceptance. The browser Pixel sends browser/device information, IP address, cookie identifiers, the page address and event type. The server events contain the event type and time, the page address, your IP address and browser user agent, the _fbp and _fbc cookie identifiers, a hashed (SHA-256) version of your email address and of your account ID, and for purchases the amount, currency and plan type. Legal basis: consent. Videos, transcripts, card details and your name or phone number are never sent, and automatic event configuration is disabled in the browser.

We need account, billing and content data to provide the service. We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.

3. AI processing

Your full videos are stored and rendered into clips only on our servers in the EU, and never leave the EU. To transcribe speech and pick moments, we send only the audio, the transcript and a few still frames to AI providers, which may process them outside the EU. They do not keep this data after answering and do not use it to train AI. We never use your content to train AI.

4. Who we share data with

We use service providers for hosting and storage, payments, email, AI processing, and security and monitoring. They may only use your data to provide their service to us. We also share data when the law requires it. We never sell your data. Ask us at [email protected] for the full list of providers.

If you accept marketing cookies, advertising event data is also shared with Meta Platforms Ireland Limited. Meta may combine it with information from your use of its services and use it for advertising measurement, personalization and its own purposes under Meta's Privacy Policy. See also Meta's information about Business Tools. Declining marketing cookies does not affect your access to NordClip. Server-side events are sent only while your latest choice is acceptance of the current notice (we ask again when it changes); withdrawing stops future server events. To honour your choice for payments, which our server records without your browser, we keep your latest choice and, after acceptance, the latest IP address, user agent and _fbp/_fbc values with your account until you reject or the account is deleted.

Where data is transferred outside the EU/EEA, we rely on standard safeguards: an adequacy decision of the European Commission or its Standard Contractual Clauses.

5. How long we keep data

• Videos, audio, frames, transcripts and clips: deleted automatically 30 days after the job finishes, or sooner if you delete them.
• Job history and clip usage records: until you delete the job or close your account. A usage record without the video details is kept so used clips stay used.
• Account data: until you close your account, then deleted within 30 days.
• Data used to prevent repeat free trials: up to one year.
• Billing records: as long as tax law requires.
• Technical logs: 30 days.
• Encrypted backups: 30 days; the latest copy is kept if backups stop.

6. Your rights

You can ask for access to, correction or deletion of your data, restriction of processing, and a copy of your data in a portable format. You can object to processing based on legitimate interests and withdraw consent at any time. Email [email protected]. You can also complain to a data protection authority, for example in the country where you live.

7. Cookies

We use necessary cookies to keep you logged in, protect forms, remember your language, filter bots and remember your privacy choice. We ask about optional Meta marketing cookies after account creation. Optional marketing tracking loads only when you are signed in and have actively accepted it. Agreeing to our Terms of Service or reading this Privacy Policy does not give marketing consent.

Meta may also use its own cookies under Meta's Cookie Policy. We do not load the Meta script when marketing cookies are rejected or no choice has been made. Without JavaScript, optional marketing tracking stays off.

You can accept, reject or withdraw marketing consent using Cookie preferences in the footer. Withdrawal stops further NordClip marketing events, including server-side events, and removes the _fbp and _fbc cookies accessible to NordClip. It does not undo events already sent to Meta or remove cookies on Meta's own domains; Meta's policies explain how to manage those. Withdrawal does not affect the lawfulness of processing before withdrawal.

If we make an important change to this policy, we will email you before it takes effect.
